ERP + Client Portal + business AI for a retirement-advisory firm

The problem

A retirement-advisory firm with a founder who’s an expert in her field, two advisers, four closers, and both B2B and B2C clients. The goal: consolidate the entire operation (video appointments, assessments, engagement letters, deliverables, payments, signatures) into a single tool — and embed AI at the heart of the work so management doesn’t hit a ceiling as the company grows.

The approach

In development since the first quarter of 2026, co-designed with the founder (her domain expertise is built into the data model from day one). An internal ERP plus a separate client portal with magic-link sign-in (zero passwords). Business integrations: Stripe, Pennylane, Yousign, Google Drive, n8n. Above all, a genuine AI layer tuned to the work — Recall for automated video-call notes, Amazon Bedrock for the chatbots, and AI applied to career analysis and to generating deliverables (PPT, DOCX, PDF) following the firm’s own methods and values.

The result

  • A self-service client portal delivered: magic link, guided onboarding, document access
  • A consolidated internal ERP: 2 advisers + 4 closers, including the founder as domain expert
  • Business AI built in: career-analysis support, automatic deliverable generation (PPT, DOCX, PDF), automated video-call notes
  • Growth capacity unlocked: the tech tuned little by little from field feedback, with no management ceiling
